CARE is committed to providing learning opportunities for young professionals seeking practical experience in administration and front desk. The Administration Department plays a key role in ensuring smooth office functioning, logistics coordination, and front-desk management.
The Admin Intern position is designed for a recent graduate interested in developing practical administrative and organizational skills in a humanitarian setting. The intern will support the Administration Department in daily tasks and gain exposure to office management systems and procedures.
Purpose of the Internship
The internship aims to help the intern gain on-job experience in administrative and front-desk operations while supporting CARE’s Aden Hub office functions. The intern will assist in reception duties, filing, correspondence, and event coordination, contributing to a professional and organized work environment.
Key Learning Areas and Support Tasks
- Front Desk and Communication Support
- Learn how to manage a reception area and provide courteous assistance to visitors.
- Answer incoming phone calls, take messages, and direct inquiries to the appropriate staff.
- Support scheduling and coordination for staff and visitors.
- Administrative and Clerical Support
- Assist with preparing and typing letters, copying, and scanning documents.
- Help in maintaining records and organizing files (including box files, unified labels, and archiving).
- Support in processing incoming and outgoing correspondence as instructed.
- Meeting and Workshop Coordination
- Assist with administrative arrangements for internal meetings and workshops (e.g., preparing materials, refreshments, and meeting setup).
Learning Outcomes
By the end of the internship, the Data Management Assistant Intern is expected to:
- Understand the structure and daily operations of an administrative department in a humanitarian organization.
- Gain skills in office communication, documentation, and front-desk management.
- Develop organizational and time-management abilities.
- Demonstrate improved confidence in professional correspondence and teamwork.
Internship Qualifications
- Recent graduate (within the last two years) with a degree in Business Administration or a related field.
- Proficiency in Microsoft Office applications (especially Word and Excel).
- Good communication skills in Arabic and English.
- Eagerness to learn and attention to detail.
