Procurement Assistant as Interns – TERMS OF REFERENCE
Preference: Female Candidates

Overview:

The Hub Procurement Assistant-Intern reports to Hub Supply Chain Officer and will support the procurement function by ensuring that mission and project-wide procurement activities are conducted in a timely, efficient, and compliant manner. All procurements must adhere to CARE’s operating policies and procedures and maintain up-to-date vendor and clearance agents’ information.

Location: Taiz Hub Office

Objective of the Assignment:

The intern will assist the procurement in the Hub office of Taiz with:

  • Assist in Ensuring easy access to procurement and vendor documentation.
  • Assist in Supporting the enrichment of CARE’s vendor database across all categories.
  • Assist in ensuring procurement requests are accurate and processed timely.
  • Assist in Supporting timely payment processing for vendors.
  • Assist in Supporting timely registration of new vendors to the CARE system

Scope of Tasks under this Assignment:

The intern will undertake the following tasks:

  • Assist in ensuring that all vendor and consultant payments are prepared and processed without delay, including follow-up with the finance team.
  • Maintain a payment tracker for all procurement transactions, especially consultant related.
  • Support the archiving of procurement documents including purchase orders, quotations, contracts, tenders, and internal purchase requisitions.
  • Ensure procurement files are well organized and easily accessible.
  • Assist in updating and organizing vendor information in the procurement system or database.
  • Perform other duties as assigned.

Other Duties:

  • Perform any other tasks as required and assigned by the line manager.

Duration of the Assignment:

The assignment will be for a 6-month period, starting from the date of contract signing.

Deliverables and Terms of Payment:

The intern will receive $150 USD per month, with no additional benefits or allowances.

Requirements for the Position:

  1. Fresh graduate with a bachelor’s degree in business administration or a related field.
  2. Good knowledge of organizing and safeguarding
  3. Good written and verbal communication skills in English.
  4. Good  computer skills (Microsoft Word, Excel, etc.).
  5. Commitment to learning and contributing to the procurement function.
